Data Tools for Monitoring and Program Improvement: 
  • The system is web-based which allows state desk reviews of program data a minimum of quarterly. Regional Coordinators are responsible for reviewing the programs in their area. Contact is made with the program director and/or data entry person if there are issues that need to be addressed or corrected as well as commendations for jobs well done. Data is reviewed when onsite technical visits are made to programs.
  • State Regional Coordinators do desk monitoring of data on a quarterly basis. The following are examples of the type of information checked: 1. Number enrolled and number reportable and the reasons for non-reportables, such as lack of attendance hours or assessment data. 2. Goals being set. 3. NRS Tables are run. 4. If data is being entered monthly as required. 5. If appropriate keywords are being used as requested by the state for future program analysis. 6. Levels being served and if appropriate assessment data is entered. 7. Post-testing is being done in a timely manner.
  • Data indicated a need for professional development in the area of reaching the state pre/post assessment goal of 60% and in the area of setting appropriate student goals.  These were addressed in two ways.  First, during the spring 2008 director's meeting.  Second, with two videoconferences offered statewide -one on the state assessment policy and one on the state goal setting policy.  State data was analyzed during the process of selecting a new performance-based funding formula for FY2008-09. Data such as local program performance and cost per student analysis was used for program planning and in the development of a new Local Program Action Plan required of all programs for FY2008-09.
