Data Tools for Monitoring and Program Improvement: 
  • All data is entered at the local level by data entry personnel or by teachers and must first be approved by the local administrator before it is recorded in AERIS. At the state level, Tracy Andrews, the AERIS analyst, runs monthly reports of local programs' data (primarily NRS Table 4) and checks for inconsistencies or errors. Low performing programs must submit monthly reports to the state office as part of their program improvement plans. End of the year annual NRS tables are run by the state office and checked thoroughly.
  • AERIS has several error checking screens and pop-up alerts to notify data entry personnel of possible data omissions or errors, out of range values, or anomalous data. The state office runs monthly reports that are analyzed for errors. If errors or major inconsistencies are noticed, state staff contacts the local programs for corrections which must be submitted within one month according to state office policy.
  • AERIS contains an Attendance Alert Report and a Testing Alert Report. The Attendance Alert Report generates a list of students who have not attended classes, beginning the 60th day of non-attendance. The Testing Alert Report generates a list of students who have 60 or more hours of instruction and need to be posttested. Local program administrators can also run each NRS Table for the entire program, by class(es), or by teacher(s) to measure success rates of students in different ways.
  • AERIS has a built-in message screen, the state has an AERIS user listserv, and there is a distribution list of all AERIS users which give Ms. Andrews the ability to contact people on a regular basis. Users can also use the listserv to post questions. In some cases, on-site in-services are provided where programs are having special problems or there has been a turnover in data entry staff or administration.
